AI for the admin pile, not the classroom.
For independent schools, multi-academy trusts, FE colleges and private training providers (30–300 staff): the AI value lands in administrative burden — parent communications, report writing, policy lookups, lesson-prep support — not in replacing teachers. Microsoft AI deployed with the safeguarding posture parents, governors and regulators (Ofsted, DfE, accreditation bodies) actually expect.
Where it shows up first
Three signals AI is the right call for your firm right now.
Report-writing season swallows weekends.
End-of-term report writing pulls every teacher out of life for 2–3 weekends a year. Copilot drafts personalised paragraphs from the teacher’s notes + assessment data in the school’s tone; teacher edits + signs. Recovers most of the weekend without sacrificing personalisation.
Parent communications eat the office’s morning.
The school office spends the first two hours of every day on parent emails about uniform, lunches, trips, attendance, policy questions. A Copilot Studio agent grounded in the school’s policy library drafts the routine replies; office staff approve + send.
Lesson-prep is heroic and unshared.
Every teacher prepares similar resources for similar topics in parallel. A Copilot agent over the school’s shared resource library + scheme of work surfaces what colleagues already built, drafts variations for differentiation, returns time to teaching.
What we ship
Four patterns that move the needle in education.
End-of-term report drafting
Teacher notes + assessment data + school tone-of-voice exemplars → Copilot drafts personalised report paragraphs. Teacher edits + signs. Cuts report-writing time 60–75% with personalisation intact.
Parent-communications drafting agent
Copilot Studio agent grounded in the school’s policies, calendar, FAQs. Drafts routine parent-email responses (uniform, attendance, trips, lunches). Office staff review + send. Frees the first 2 hours of every morning.
Lesson-prep & resource discovery
Agent over the shared resource library, scheme of work, past lesson plans. Surfaces what colleagues built, drafts differentiation variations, returns prep time to teaching.
Policy & safeguarding lookup
Staff query in plain English from Teams: behaviour policy, safeguarding procedure, exam-board rules, SEND code of practice. Cited answers from the actual current version. Reduces "ask the DSL" volume on the routine cases.
The governance posture
Education is one of the most safeguarding-sensitive environments we work in. Our deployments default to: no AI tool processes pupil data outside the school’s Microsoft 365 tenant; Microsoft’s DPA (and the UK A365 / EU education-specific commitments) covers the workloads we deploy; safeguarding and SEND data are labelled and DLP-scoped so they cannot flow into a parent-facing draft by accident; nothing we deploy makes a safeguarding judgement — the DSL remains the decision-maker. The deployment memo is written so the trust board, the data protection officer and the inspectorate can each read it and accept it.
The stack, vertical-specific
The four Microsoft tiles that light up first in education.
The same six-tile Microsoft AI stack runs everywhere, but the order in which the tiles pay back differs by vertical. Here’s the order we ship for education firms.
Microsoft 365 Copilot
In the teacher + office seat
Drafts end-of-term report paragraphs from teacher notes + assessment data in the school tone; drafts routine parent communications inside Outlook; summarises long policy documents for staff briefings. All inside the school tenant boundary.
Copilot Studio
Policy + resource discovery agent
Grounded in the policy library, scheme of work, shared resource library and current safeguarding / SEND / exam-board guidance. Citation-grounded answers point back to the source document so the DSL or SENCO can verify in one click.
Microsoft Purview
Safeguarding + SEND containment
Sensitivity labels on safeguarding, SEND, child-protection and exam-pupil data. DLP rules prevent labelled content surfacing in parent-facing drafts. Audit logs the DPO and trust board can review during the annual data-protection review.
Power Automate + AI Builder
Admin workflow lift
Trip consent forms, attendance follow-ups, parent-meeting scheduling, supplier invoice intake. The boring office-admin glue that lets the school business manager spend time on the strategic file rather than the inbox.
Writing for education leaders
Three pieces of our published thinking that apply directly.
AI governance
AI governance for SMBs: the 9-document pack to write before your first Copilot rollout
Nine one-page documents, two weeks, one named owner. The minimum viable AI governance posture that answers 80% of any enterprise vendor-risk questionnaire — and the Microsoft tiles that actually carry the load.

The 4-week AI activation playbook for a 100-person firm
Week-by-week schedule, exit criteria, deliverables, and the three checkpoints that decide whether you scale a pilot or kill it. The honest version, not the marketing one.

The 7 mistakes SMBs make in their first 90 days with Microsoft Copilot
About a third of the Copilot rollouts we’re asked to triage in month 3 are limping for the same seven reasons. None of them are technology bugs. All seven are recoverable in three weeks if you catch them early.

Common questions
What firms in education usually ask first.
Will AI write pupil reports without the teacher?
No. The teacher’s notes and assessment data are the input; the teacher reviews and signs every paragraph. Copilot drafts in the school’s tone; the teacher remains the author of record. Personalisation is preserved because the input is the teacher’s own observation, not a generic template.
How do you handle safeguarding and SEND data?
Purview sensitivity labels are applied at the source. Copilot honours the labels — safeguarding and SEND content cannot surface in a parent-facing draft or a routine staff query. The DSL and SENCO retain full control of their data; the agent never makes a safeguarding judgement.
Is Microsoft 365 Copilot acceptable to our DPO and trust board?
Yes when deployed inside the school’s tenant under the Microsoft DPA. We supply the deployment memo + DPIA template + governance pack that DPOs and trust boards in UK independent schools and multi-academy trusts have already accepted. State sector engagements add the DfE filtering / monitoring expectations explicitly.
What about pupil access to AI tools?
Out of scope for our default engagement — we focus on staff-side admin lift. Where the school chooses to extend to pupil-side tools, we recommend the Microsoft 365 A3/A5 student licence pattern with age-appropriate filtering, and we layer the AUP for pupil use on top. Separate decision; we keep them un-coupled to keep the safeguarding story clean.
