AI that lives in the trailer, not the boardroom.
For general contractors, specialty trades and design-build firms (30–300 staff): the wins are in RFI / submittal turnaround, bid preparation, daily-report drafting and safety-document workflows. Microsoft AI deployed in a way that survives spotty job-site connectivity and a workforce that lives on phones.
Where it shows up first
Three signals AI is the right call for your firm right now.
RFI and submittal cycles drag the schedule.
Each RFI takes days of email tag and document searching. A Copilot agent over your contract docs + spec book + submittal log drafts responses in minutes, cutting RFI turnaround from days to hours.
Bid prep is heroic and unrepeatable.
Every bid is assembled by the estimator pulling from past projects, supplier emails, spec interpretation. AI Builder + a knowledge agent gets the first 60-70% drafted; estimator focuses on the judgement calls.
Daily reports are a Friday afternoon problem.
Field supers either skip them or back-fill from memory. Voice-to-Copilot daily-report flow lets the super dictate in 90 seconds from the truck; structured report lands in Procore / Autodesk Construction Cloud automatically.
What we ship
Four patterns that move the needle in construction.
RFI response drafting
Copilot Studio agent grounded in contract docs, plans, specs, submittals. Drafts an RFI response with citations to the relevant spec section. PE reviews + sends. Cuts RFI cycle 60-80%.
Bid prep & estimating support
Past-project knowledge agent + AI Builder for take-off extraction from PDFs. Estimator builds a first-draft estimate in 30% of the usual time. Wins more bids by submitting more.
Voice-to-daily-report flow
Field super dictates 60-90 seconds from the truck. Power Automate + Azure Speech transcribes, structures into manpower / weather / progress / issues fields, writes to Procore.
Safety document & toolbox-talk drafting
Job-specific JHA / SDS / toolbox-talk drafts pulled from your safety library + the project context. Safety lead reviews + delivers. Doesn’t replace the safety culture; lifts the admin off the safety lead.
The governance posture
Construction is less regulated than healthcare or finance — but the contractual exposure is real. Wrong information in an RFI response, a missed safety document, a hallucinated spec interpretation can each cost six figures. Our deployments default to citation-grounded outputs (every Copilot agent answer points back to the source spec / contract section), human-in-the-loop on anything that leaves the GC’s control, and audit logs the project executive can review. OSHA recordkeeping never touches a hallucinated field.
The stack, vertical-specific
The four Microsoft tiles that light up first in construction.
The same six-tile Microsoft AI stack runs everywhere, but the order in which the tiles pay back differs by vertical. Here’s the order we ship for construction firms.
Copilot Studio
RFI + submittal response agent
Grounded in the contract docs, spec book and submittal log per project. Drafts RFI responses with citations to the relevant spec section. PE reviews + sends. RFI cycles drop from days to hours.
AI Builder
Bid prep + takeoff support
Extracts quantities from machine-printed plans, parses supplier emails into structured pricing, and pulls historical estimates from past projects. Estimator builds a first-draft estimate in 30% of the usual time.
Azure Speech + Power Automate
Voice-to-daily-report flow
Field super dictates 60–90 seconds from the truck (works offline; syncs when connectivity returns). Transcript structured into manpower / weather / progress / issues fields and written to Procore. Daily reports stop being a Friday problem.
Microsoft 365 Copilot
Safety + admin lift in the office
Drafts job-specific JHA / SDS / toolbox-talks from your safety library + project context. Safety lead reviews + delivers. The admin lift comes off the safety lead so they can spend time in the field.
Writing for construction leaders
Three pieces of our published thinking that apply directly.
Copilot Studio
Copilot Studio agent patterns: 8 we ship over and over at SMB scale
A catalogue of the eight Copilot Studio agent patterns we build most often for 30–300 person businesses — with tile composition, build cost, the gotcha that bites first-time builders, and how to pick which one to ship first.
ReadPower Automate
Power Automate + AI Builder vs. Zapier: when SMBs should migrate (and when not to)
Most SMBs on Microsoft 365 are paying twice for the same automation capability. A practical migration playbook, the 80/20 rule for what moves and what stays, and 5 AI Builder patterns that pay back inside the first month.

The 6-tile Microsoft AI stack every SMB already owns (and the 4 they’re not using)
Most 30–300 person companies are paying for 60–80% of the Microsoft AI capability they need. Here’s the six-tile map of what you already have — and the four pieces almost nobody activates.

Common questions
What firms in construction usually ask first.
Does this work with Procore / Autodesk Construction Cloud?
Yes. Both have published APIs we integrate with via Power Automate premium connectors or direct REST. We’ve shipped daily-report flows and RFI integrations against both.
What about job-site connectivity?
The voice-capture step works offline (mobile-first PWA caches locally, syncs when connectivity returns). The heavier Copilot processing happens server-side once the data is back in your tenant. Field staff don’t need to think about it.
Can it read plans and specs?
Document Intelligence reads spec books and printed plans (with the usual caveats — handwritten markups are unreliable, machine-printed text is solid). For active drawing extraction we recommend pairing with Bluebeam or your existing takeoff tool; AI augments, doesn’t replace.
Is this affordable for a 60-person GC?
Microsoft 365 Business Premium + Copilot licences for your office staff (estimators, PMs, super-leads — typically 15-25 people of the 60) plus an activation engagement. Most 60-person GCs land at a payback under 6 months on RFI / submittal time savings alone.
